Common questions
Will my customers know they didn't reach me directly?
Patch is a real, UK-based receptionist taking the job — most callers think it's your office line. We brief the team on your trade vocabulary and tone before going live.
What if the call isn't a booking — a quote, an existing customer or a supplier?
Not every call is a new job. For quote enquiries, existing customers chasing an update, suppliers or anything else, we take the caller's name, number and the reason they rang, then text you straight away so you can call back when you're free. You're never left wondering who's been trying to reach you.
What does Patch say when the customer asks for a price?
We don't quote your work on the phone — that's your call. Patch captures the job and lets the caller know you'll confirm pricing when you call back or on the first visit. If you'd rather we share a standard call-out rate up front, we'll do that — agreed at onboarding.
How does Patch know what jobs I take and where I work?
At onboarding we map out your trade, the work you take (and don't), your service area by postcode or radius, and your typical call-out rates. Patch politely turns down anything outside that — and texts you about anything borderline so you decide.
What about genuine emergencies — gas leaks, no heat, lockouts?
Emergencies don't wait for the next booking slot. You tell us what counts as urgent for your trade at onboarding, and when one of those comes in we ring you straight away — no SMS-and-hope.
What if I'm on holiday or fully booked this week?
Drop us a text. We'll switch Patch to messages-only, push bookings out by however long you need, or flip your diary to emergencies-only — usually live within the hour.
How long does setup take?
About a week, end to end. We have a 20-minute call with you first to get the details, then we configure everything and run a test before going live.
What's included in the £149 setup fee?
A UK number provisioned to you, a 20-minute onboarding call to map your trade vocabulary, service area, pricing rules and emergency triggers, calendar integration, test calls, and two weeks of tweaks until it sounds right.
Can I try Patch before I commit?
Yes — and if it isn't earning its keep in the first 30 days, we'll refund the lot, setup fee and all. We'd rather not have your money than have you grumbling about it.
What if Patch books a clash or a job I can't take?
It'll happen occasionally. We'll re-arrange it with the customer at no cost to you — and feed it back into how we handle your calls so it doesn't happen twice. You're not on the hook for our mistakes.
Can I review what was said on a call?
On Pro, every call is recorded and transcribed and you can pull any of them up. On Starter, you get a written note in the SMS of what was discussed — and if you ever want us to dig out the detail on a specific call, email us and we will.
What about my existing number?
You keep it. We give you a UK number to forward unanswered calls to — we don't replace your line.
Do I need an app or a portal?
No. There's nothing to download and nowhere to log in. SMS and email is all you need.
Do you handle WhatsApp messages too?
Not yet — calls only for now. WhatsApp answering is on the list for later in 2026.
Where is my customer data stored?
On UK servers, GDPR-compliant. Call notes are kept for 90 days by default and recordings (on Pro) for 30 — then deleted. Happy to talk you through the detail before you sign up.
How is Patch different from Moneypenny or a virtual receptionist?
The big receptionist services are built for offices — taking messages and routing calls to internal teams, billed per minute. Patch is built for trades on the tools: we know boilers and consumer units, we book straight into your diary instead of leaving you a message, and we charge a flat monthly fee.
